OK, so here it is. I have put literally hundreds of hours into this subject area. My version has never created any problems for me, and I believe there are nearly 70 downloads so far. The directions below are for the newer version.
No database has been spurned and talked about than the AmazingMeds.mdb database. While its older brother, AmazingCharts.mdb runs the show and AC as we know it; and while Codes and Billing are the direct links to cash flow, the medication database is front and center when it comes to controversy. It doesn't need to be that way.
The short answer is you open AmazingMeds.mdb and either add or delete a medication. To delete a medication, simply delete the entire row. To add, scroll to the bottom and insert a medication, say Focalin XR. You put the name of the medication only under the TradeName column. Then under the strength and units, you put the 10 mg or whatever. You MUST put only one entry in the strength field. You put the rest in the unit field. So, if you had Cefzil suspension and wanted to put in the 250 mg/mL, you would have to put 250 in the strength column and mg/mL in the unit column. Same thing with Tylenol with codeine. Tylenol with codeine goes in the medication column while 120 goes in the strength column and 12/mg/5mL goes in the units column. Strange, yes. But, it's how it is set up. After making the change, close the database and reopen AC, and you are set. But, you MUST do #16 below.
If you want a very clean database that is easy to edit and keep track of, I recommend the following changes to the database prior to using it.
1. Open the AC folder.
2. Rename your AmazingMeds.mdb to AmazingMeds.orig
3. Save, and you will get an error message from Microsoft.
4. Ignore the message, and the resulting file will not look like an Access database file and will be ignored by AC.
5. Drag or copy and paste a copy to your desktop and rename it to AmazingMeds.mdb. It will then be a working database again.
6. You can play with this one with the knowledge that you have the full copy in the chart.
7. REMEMBER! You can always download another database.
8. Open the database you will edit on the desktop.
9. Under tables, delete everything except Listings and Formulations.
10. Click on listings to open the data. What is in formulations can be ignored, but you must keep it.
11. In the data field to the right delete EVERY column EXCEPT ID, Strength, Unit and Tradename columns. Tip: Using shift, you can delete three columns at a time to the left of "Strength" and to the right of "Unit." This isn't necessary however.
12. Click on the very top of Tradename so the entire column is highlighted. Then, while left clicking on the top AND holding down the button, drag it to the left of the strength column. This also isn't necessary, but makes editing much more intuitive. You could delete the ID column, but this is the Key column, so I would recommend leaving it alone.
13. Close the database.
14. Copy and paste the database into your AC folder.
15. Open AmazingCharts. After doing so, if you reopen the database, you will notice two more tables have been created by Access: MedNames and MedsDetail. These are very important tables, but never need to be edited. The only table that needs to be opened and edited is the Listings table.
16. Now that you have it in this format, it's easy to open and add or delete medications. You simply add a medication and its units in the way I described above. The only caveat is when you add a medication, you need to allow Access to add it not only to the place you entered it; but also to the two extra tables, MedNames and MedsDetail. You must DELETE those two tables and close the database. When AC restarts, it will rebuild the tables. But, NEVER delete Listings or Formulations.
